Position Overview

 

We are seeking a highly organized and detail-oriented Customer Service Manager – Member Services and Payment Specialist to oversee member experience, payment processes, and key operational functions.
This role is multifaceted, combining customer service, marketing support, team oversight, and vendor coordination. The ideal candidate will be proactive, resourceful, and comfortable managing multiple moving parts while maintaining excellent communication and organization.

 

Primary Responsibilities

 

1. Payment & Membership Management

  • Monitor and manage failed membership payments following company procedures.
  • Communicate with members to resolve billing issues and update payment information.
  • Accurately document all payment-related interactions and resolutions in the CRM system.
  • Oversee onboarding for new members and offboarding for departing members.
  • Maintain member data accuracy and troubleshoot account or access issues.

 

2. Customer Service & CRM Oversight

  • Serve as the front-line contact for member inquiries via phone, email, and chat.
  • Note - you will be answering the phone week 1!
  • Respond to questions related to payments, membership details, and account status.
  • Track and resolve issues efficiently, escalating as necessary.
  • Maintain customer records, update order statuses, and follow up on open cases using Keap/Infusionsoft or similar CRM systems.
  • Support scheduling and coordination of member meetings and events via Zoom.

 

3. Marketing Responsibilities

  • Collaborate with the marketing team to assist with email campaigns, ensuring lists, content, and scheduling are managed accurately.
  • Conduct social media outreach and engagement (LinkedIn, Facebook, Instagram, etc.) to connect with potential members and promote Land Academy events or programs.
  • Track marketing engagement metrics and support the execution of member communication campaigns.
  • Assist in creating and distributing marketing materials, newsletters, and promotional updates.

 

4. VA Management

  • Oversee a team of Virtual Assistants (VAs), assigning tasks, tracking completion, and ensuring deadlines are met.
  • Provide clear direction, monitor productivity, and maintain accountability through structured check-ins.
  • Create and manage task systems to support efficiency and consistency across the VA team.
  • Support recruitment, onboarding, and ongoing coordination for new VA hires as needed.

 

5. Budget & Vendor Management

  • Track operational expenses and monitor budget allocations for memberships, marketing tools, and software subscriptions.
  • Manage relationships with external vendors, ensuring timely invoicing, renewals, and performance follow-up.
  • Evaluate vendors and tools for cost-effectiveness and make recommendations for improvement.
  • Maintain accurate records of all vendor communications, payments, and contracts.

 

Qualifications

 

  • Proven experience in customer service, payment collections, or membership management.
  • Strong familiarity with CRM systems (Keap/Infusionsoft preferred) and payment processing tools.
  • Experience managing VAs, contractors, or remote staff.
  • Solid understanding of marketing principles and familiarity with email marketing and social media outreach.
  • Excellent organizational and multitasking skills with attention to detail.
  • Strong communication abilities and professional demeanor.
  • Proficiency in tools such as Office365, Google Workspace, Zoom, and spreadsheet management.
  • Ability to work independently while maintaining collaboration with team members.
  • Typing speed of 35+ WPM.

 

Work Details

 

This is a 1099 contractor position. While our typical office hours are Monday–Friday, 9:00 AM–5:30 PM , this role requires 40 hours per week with availability during core business hours for member communication. We are flexible in scheduling for the right candidate.

 

This is a hybrid role. Monday, Tuesday, and Thursdays are in-office in Scottsdale. Wednesdays and Fridays are work from home. Work from home begins 30 days after employment start.
