Position Overview:

We are seeking a detail-oriented and proactive Onboarding Specialist to support our HR team in managing new hire processes for hospital staff. This role will be responsible for coordinating background checks, verifying employment eligibility, scheduling onboarding appointments, and ensuring a smooth candidate experience. The ideal candidate will be comfortable managing multiple onboarding files simultaneously, have strong communication skills, and preferably have prior experience in healthcare onboarding.

Key Responsibilities:

• Initiate and track background checks, ensuring timely completion.
• Manage I-9 forms and complete E-Verify for employment eligibility.
• Contact candidates by phone and email to schedule HR onboarding appointments.
• Oversee onboarding for 20–30 candidates at a time, ensuring accuracy and compliance with requirements.
• Enter candidate data into the UKG system, maintaining accurate and organized records.
• Serve as a point of contact for new hires to answer questions and provide guidance throughout the onboarding process.
• Collaborate with HR team members to ensure onboarding timelines and compliance standards are met.
• Support onboarding for a diverse hospital workforce, including RNs, CNAs, EMTs, Security Officers, and other staff.
• Assist with additional HR administrative tasks as needed.

Qualifications:

• 1–3 years of HR, onboarding, or recruiting coordination experience preferred.
• Familiarity with background checks, I-9 forms, and E-Verify.
• Strong organizational and data entry skills with attention to detail.
• Proficiency with HRIS systems; experience with UKG strongly preferred.
• Excellent verbal and written communication skills, comfortable speaking with candidates by phone.
• Prior healthcare onboarding experience is a plus.
• Ability to manage multiple priorities in a fast-paced environment.
