About the Role

We’re seeking a highly skilled  Executive Assistant to support our CEO, COO, and CRO. This hybrid role (2 days onsite, 3 remote) is central to the daily rhythm and success of our leadership team at Beyond Logix — a fast-growing, AI-powered logistics SaaS company based in Allen, TX.

What You'll Do

  • Manage and optimize calendars for three senior executives
  • Coordinate internal/external meetings across time zones
  • Organize domestic and international travel logistics
  • Draft executive emails, agendas, reports, and presentation materials
  • Prepare and track expense reports and reimbursements
  • Support leadership priorities and track meeting action items
  • Maintain strict confidentiality with sensitive company and personnel information
  • Be onsite 2 days per week to assist with in-person needs and meetings

What We're Looking For

  • 4+ years of executive assistant or senior admin support experience
  • Strong writing, communication, and organizational skills
  • Proficiency in Google Workspace, Microsoft Office, Slack, and Zoom
  • Ability to anticipate needs, manage priorities, and remain agile under pressure
  • High emotional intelligence, discretion, and proactive problem-solving
  • Experience supporting multiple senior leaders is highly preferred
  • Background in SaaS, logistics, or startup environments is a plus

The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations.

Qualifications

  • Bachelor's degree or equivalent experience
  • Proficient in Microsoft Office suite
  • Experience in managing multiple priorities, administrative coordination, and logistics
  • Well-organized, detail-oriented, ability to multi-task with great follow-up skills
  • Strong written and verbal communication skills
